Принимаем вызов учитывать время 1 неделю с легким в использовании мобильным приложением Gleeo (короткий обзор)



Gleeo входит в ТОП-5 самых популярных приложений для учета времени. Оценка на Google Play 4.7 из 5. Рекомендую данное приложение для Недели Спасенного Времени.

Почему?


Поддержка 3-х уровневой структуры: категория – подкатегория – занятие


В Gleeo это называется Domain – Project – Task (Интерфейс приложения на английском).

Удобно учитывать продуктивное (работа, отношения, спорт), непродуктивное (Youtube, ТВ, Интернет, ленты) и базовое время (сон, уход за собой, дорога).


Простая и правильная логика приложения 1-2-3:



  1. Вкладка Timeline. Добавление новых занятий (Task) и просмотр/коррекция уже учтенных. Чтобы добавить занятие просто нажмите плюсик и выберите Add time entry. Приложение запоминает занятия (Tasks), поэтому повторяющиеся названия не нужно вводить заново, их достаточно выбрать из списка
  2. Вкладка Record. Запись в режиме реального времени. Достаточно выбрать из списка перед глазами нужную категорию (Domain), подкатегорию (Project) и занятие (Task) и нажать кнопку «Запись»
  3. Вкладка Report. Отчет. Удобно быстро посмотреть суммарные значения по категориям за неделю или выбранный период (Нажимайте квадратик справа внизу для нужного уровня детализации: Domain, Domain+Project, Domain+Project+Task)


Возможность заранее задать свои категории и подкатегории


Чтобы добавить категорию (Domain) и подкатегорию (Project) просто нажмите плюсик и выберите Add project.

Список своих категорий и подкатегорий лучше действительно определить заранее. Мои текущие категории (Domains):
  • Продуктивные категории: Работа, Семья, Друзья, Родственники, Личное (развитие, спорт...), Финансы
  • Базовое (Сон, Тело-Гигиена, Тело-Питание, Передвижение,..)
  • Непродуктивное (Youtube, ТВ, Интернет, сериалы, ленты,...)

Подкатегориям одной категории можно задать свой цвет, чтобы быстрее находить нужные.



Можно выбрать подкатегории (Projects), для которых разрешено «двойное время»


Другими словами параллельный учет (Parallel Recording - поставьте соответствующую галочку при создании/изменении подкатегории). Например, подкатегория «Передвижение» (Дорога): параллельно можно читать, работать, общаться, спать. Нажимаем кнопки «Запись» для двух занятий и фиксируем их время параллельно!


Данные экспортируются в Excel в формате CSV


Для этого:

     в Gleeo: Раздел Report -> кнопка «Поделиться» ->  time entries export (CSV)

     в Excel: Вкладка «Данные» -> из текстового/CSV-файла -> выбрать файл CSV -> выбрать кодировку UTF-8 (65001 Юникод) для кириллицы


Время на знакомство с приложением и ввод собственных категорий и подкатегорий (Domains + Projects): 1 час 10 мин

Мощные инструменты для ведения дневника использования времени в течение недели




Друзья, в нашем распоряжении масса возможностей для ведения хронометража (учета времени). Особенно если речь про всего одну неделю. Одной недели достаточно, чтобы осознать, на что расходуется время и где есть резервы. Резервы времени на то, что вы действительно хотите.

1. Бумажный носитель


Бумажный носитель вполне подойдет для недельного эксперимента. Нет необходимости осваивать специальные программы и приложения. По итогам недели вооружитесь калькулятором и подсчитайте суммарное время по каждой категории (семья, работа, друзья, спорт,…).

У вас есть выбор как минимум из трех способов учета времени на бумаге:

Первый способ - это обычная табличка, которую можно нарисовать в блокноте от руки. Например, такая:




Второй способ – это хроно-карта А.К. Гастева (ученый, теоретик научной организации труда).


Здесь вы также заполняете категорию-занятие, а потом заштриховываете соответствующие временные квадратики (каждый квадратик – полчаса). Получается очень наглядно. Вам понадобится 7 листов – на каждый день учета.

Третий способ – шаблон Лоры Вандеркам (журналист, писатель, автор «Книги о потерянном времени»).


Этот шаблон более компактный – на 2-3 страницах помещается вся неделя (отрезки по 15 или по 30 минут). Места хватит для записи конкретного занятия, разбивка на категории происходит вместе с подведением итогов в конце недели учета.

2. Специальные мобильные приложения для учета времени


О мобильных приложениях я написал в предыдущей заметке. Их уже более 15-ти, при этом суммарное количество скачиваний превышает 3 млн. Если вы планируете вести учет времени дольше одной недели, то имеет смысл потратить время на ознакомление с одним из них! 3. Excel и Excel Mobile


Также можно вести дневник времени в Excel или Excel Mobile. Excel Mobile входит в пакет Microsoft, устанавливаемый бесплатно на современные смартфоны. Excel дает хорошие возможности для анализа (сводные таблицы, графики), но требует определенных навыков и настройки под себя. Если вы владеете Excel, то это хороший инструмент для хронометража и анализа, при этом Excel Mobile становится все удобнее. Шаблон Excel для учета времени можно скачать здесь.


Какой бы инструмент вы не выбрали, главное - назначьте время, когда вы будете заполнять свой дневник использования времени в течение дня. Сделайте себе напоминания! Удачного мониторинга!

За последнее время миллионы людей рискнули узнать правду о собственной продуктивности, используя хронометраж. А вы?




Долгое время у меня было сильное убеждение, что хронометраж (учет времени) для повышения собственной продуктивности используют единицы. Что бы ни говорили о пользе хронометража гуру тайм-менеджмента. Решиться вести тотальный учет того, на что расходуешь время, хотя бы в течение недели, для многих кажется непосильной, скучной, требующей высокой само-дисциплины задачей. Исключение составляют разве что фрилансеры, дизайнеры, консультанты и еще некоторые профессии.   Убеждение подтверждалось малым количеством подписчиков на привычку Track Time (Учитывать время) в приложении Coach.Me (приложение и социальная сеть для формирования и поддержания полезных привычек). Тех, кто учитывает время, в разы меньше тех, кто ведет  учет расходов или считает калории.

Мое убеждение сильно поколебалось, когда я посмотрел, СКОЛЬКО человек установили мобильные приложения для хронометража (учета времени). Только по данным Play Market это более 3-х миллионов человек!

Удобство мобильных решений, простота и наличие смартфона под рукой сделали хронометраж достоянием миллионов, и разработчики-энтузиасты продолжают улучшать свои приложения, добавляя все новые и новые возможности. Честно скажу, я пока не использую специальные мобильные приложения для хронометража, так как привык для этого использовать Excel, где у меня настроены сводные таблицы, недельные, четырехмесячные и годовые отчеты. Но что стало совершенно очевидно: для того, чтобы испытать хронометраж в действии, есть отличные мобильные приложения с высокими оценками и множеством довольных пользователей! И это не может не радовать!

Хронометраж: профессионалы рекомендуют


В этой заметке я хочу привести несколько примеров успешных людей, профессионалов в своей области, которые использовали или используют хронометраж (учет времени).


Во-первых, это конечно Александр Любищев.





Его систему подробно и очень интересно описал в своей книге «Эта странная жизнь» (1974) Даниил Гранин. Александр Любищев (1890 – 1972) – ученый, философ, энтомолог. Известен благодаря своим работам по применению математических методов в биологии, по общим проблемам биологической семантики, теории эволюции и философии. (Википедия). Цитата из книги:
"У  большинства  людей  так  или  иначе  складываются  собственные  отношения  со Временем, но у Александра Александровича Любищева они были совершенно особыми. Его Время не было временем достижения. Он был свободен от желания обогнать, стать первым, превзойти,  получить...  Он  любил  и  ценил  Время  не  как  средство,  а  как  возможность творения. Относился он к Времени благоговейно и при этом заботливо, считая, что Времени не безразлично,  на  что  его  употреблять.  Оно  выступало  не  физическим  понятием,  не циферблатным  кружением,  а  понятием,  пожалуй,  нравственным.  Время  потерянное воспринималось как бы временем, отнятым у науки, растраченным, похищенным у людей, на которых он работал. Он твердо верил, что время — самая большая ценность и нелепо тратить его для обид, для соперничества, для удовлетворения самолюбия. Обращение со временем было для него вопросом этики."



Во-вторых, отец современного менеджмента, ученый, экономист, публицист и педагог Питер Друкер (1909-2005).


В своей самой известной книге «Эффективный руководитель» (1966) он посвятил вторую главу важности учитывать свое время и понимать, на что оно расходуется. Он пишет, что это первый и важнейший этап любого планирования, любого плана действий по повышению эффективности:
«Эффективно работающие руководители, по моим наблюдениям, начинают не с задач. Они начинают со времени. Причем не с планирования времени. Они начинают с выяснения того, на что фактически оно уходит.»
«…первый шаг к повышению эффективности работы руководителя – это точная регистрация фактических трат времени. Мы не будем обсуждать тут конкретные методы регистрации затрат времени. Одни руководители сами ведут подсчет потраченных ими часов. Другие <...> пользуются услугами секретарей <...>. Довольно много руководителей ведут такие подсчеты постоянно и просматривают записи каждый месяц. Эффективно работающий руководитель регистрирует затраты времени по меньшей мере в течение трех-четырех недель подряд два раза в год – то есть регулярно».

В-третьих, разумеется, Глеб Архангельский, большой популяризатор идей тайм-менеджмента, автор нескольких книг, основатель и руководитель компании «Организация времени», которая работает с крупнейшими коммерческими организациями и правительственными структурами.


Глеб Архангельский – большой пропагандист хронометража. Цитата из его книги «Тайм-Драйв» (2000):
«В вузе я прочитал книгу Даниила Гранина «Эта странная жизнь» и, вдохновившись примером Александра Любищева, начал вести хронометраж. Благодаря анализу времени в Excel было выявлено много резервов, что позволило успешно совмещать учебу на достаточно непростом факультете прикладной математики Санкт-Петербургского университета, английские и водительские курсы, курсы экскурсоводов и т.д.»

Еще один фрагмент о хронометраже с сайта «Организации времени» Глеба Архангельского (http://improvement.ru/bibliot/chrono/chrono05.shtm):

«     1. Хронометраж позволяет повысить личную эффективность, практически не затрачивая усилий. Психология человека такова, что как только он начинает отслеживать какие-либо показатели, они начинают изменяться в желаемую сторону сами, без всяких дополнительных действий по их улучшению.
       2. Хронометраж не требует жесткого планирования, структурирования, «раскладывания по полочкам». Западные системы, зачастую отличающиеся чрезмерной упорядоченностью, как правило дают сбои в хаотичной, непредсказуемой внешней обстановке, а также стесняют собственную спонтанную активность. В условиях нашего отечества это преимущество хронометража особенно важно.»


В-четвертых, Яна Франк, талантливая дизайнер, художник, писатель и блоггер.


В своей книге «Муза и чудовище: как организовать творческий труд» (2009) Яна также говорит о системе Любищева:
 «…чтобы понять, куда девается время, нужно его учитывать. Мало кто в состоянии записывать все свои действия с точностью до 15 минут на протяжении 56 лет, как делал это Любищев, но каждый может провести эксперимент длиной в несколько дней.»
«Опыт показал, что для получения хоть какой-то картины нужно записывать свои дела в течение трех дней. В идеале хорошо бы продержаться пять. Некоторые увлекаются этим до такой степени, что умудряются продержаться месяц и больше, что приводит к целому ряду очень интересных открытий, но это другая история. Результатов трехдневного эксперимента хватает на три-шесть месяцев либо до ближайшей значительной перемены в бытовой или рабочей ситуации» 


В-пятых, Лора Вандеркам, журналист, блоггер, писатель, оратор, мать четверых детей, автор нескольких бестселлеров, включая «Книгу о потерянном времени: у вас больше возможностей, чем вы думаете» (2010).


Огромный плюс книги, что она основана не только на личном опыте Лоры, но и на опыте многих людей, у которых Лора смогла взять интервью в рамках своей работы журналистом.
Приведу отрывок из введения к книге:
«Я попросила своих героев вести журналы учета времени, чтобы сделать выводы о тенденциях в его использовании. Однако они стали говорить, что этот опыт «открыл им глаза», и я убедилась в верности старого закона физики: акт наблюдения меняет наблюдаемую вещь. Фиксируя потраченное время, мы понимаем, что его больше, чем нам казалось. Как написала одна читательница: «Когда я приступила к “Книге о потерянном времени”, я работала по 16 часов в день. И спала по шесть часов». Потом она начала учитывать время и многое поняла: «Правда ли я работала по 16 часов в день? Нет, скорее по шесть». И еще: «Я спала по семь-восемь часов». Поделившись этим озарением, читательница заметила, что я написала книгу совсем не о тайм-менеджменте: «Скорее это книга на тему “очнись и открой глаза, тупица”».


Всех этих людей объединяет одно - уверенность, что хронометраж способен повысить качество жизни, сделать ее более насыщенной и отвечающей личным устремлениям.

7 Days Track Time Challenge

Many people track their money expenses and very few track their time. However, time is a resource that is much more valuable!

You can read about time management but why not to try it yourself.

The idea of this plan is to challenge you: will you be able to track your time every day during one week?




These 7 Days will help you to know better yourself, especially:

  • How much time do you spend productively?
  • Time that you spend for work/study compared to time that you spend for your personal life and sleep
  • What is your commuting time?
  • What part of your time do you spend unproductively?
  • How your “Wheel of Life” looks like?
This new knowledge is a great base for thinking about how to make better use of your time, and where there are hidden reserves to live full, rich life.


Short instructions


  1. Verify that next week will be your regular week. When you take track time challenge, you want to know better yourself. Today yourself. So, try to live your normal life without new habits or additional goals. If next week will be exceptional, extra job, exams, or, on the contrarily, vacations, it is better to postpone track time challenge.
  2. Decide when you will fill in your track time dairy (file) and what will be your “trigger”. Define at least two 15-minutes time intervals per day. For example, one in the morning on the way to work (if you use public transport) or just before work starts and second on the way home or just after finishing your workday. Determine what will be your “trigger” – notification about dairy filling in. It is important because during the day there are so many duties that you can forget about time tracking.
  3. Drop mathematical precision! If you restore your day (time spent) from your memory, rough figures will be enough, because the main goal is to see the big picture! Differences in several tens of minutes on a weekly time interval are not crucial at all.
  4. Commit to a friend that you will track time and ask for his support. For success in a new beginning, it is very important to have support and to be committed and accountable. Share your intention to track time during 7 days with a friend or family member able to support you.  If they check your progress daily, it will be even better.
  5. Make some small preparations. One day before the start, you should be ready for productive work, prepare your diary (file where you will record your time spends) and decide about expected depth of your analysis.


Day Zero (Saturday / [today]). Preparation


Plan is done with assumption that you have 5-days working week and weekend (day off) on Saturday and Sunday. If it is not the case, you will need to adapt the plan to your requirements.

Today we have four important tasks:

1) Define the level of depth for analysis of your time tracking results


 

2) Prepare time diary (file where you will record your time spends)

Decide how your will track your time and how you will analyze the results. Excel, Google Docs, special app…
For 7-Days Challenge, for simplicity, I propose you to use Excel with some mobile app on the go, like Polaris Office, for example.

This template includes:

  1. List of standard categories and subcategories (for your reference)
  2. Simple table for daily time tracking
  3. Pivot table for automatic consolidation of week results
  4. “Wheel of Life” Chart
Check standard categories / subcategories from template: if they suit you or no. If no, make adjustments.

3) Schedule when you will track your time and decide what will be the trigger.

Clearly define when you will track your time tomorrow and what will remind you about it!

4) Remember or record your go to bed time.

As sleep is our main rest and “recharge of our batteries”, we will start our time tracking from our sleep time.


Day 1 (Sunday). Fast start

MORNING: For fast start, record your night sleep time and time for your morning routine tasks. Write all other activities that you accomplished in the morning until the moment of diary filling. Finish with recording of the time you spent for time tracking and current time (it will help during the next diary session). If you have any difficulties to assign a task to category / subcategory, look at the list of categories / subcategories. It helps!

DAYTIME: If you have any possibility to make records in you diary during the day, do it without waiting for the evening.

EVENING: Record all things that you made during the day. If you forgot something or do not remember well, don’t worry! Just write everything that you could remember. Look at your list of categories; it can help you to remember. Finish with recording of time tracking duration and current time fixing. Think about what you are going to do before going to sleep and when you will go to sleep. It will help you tomorrow morning during dairy filling!


Day 2 (Monday). Succeed at work

MORNING: Monday is usually a busy day. Try to find time for dairy filling before daily tasks overwhelm you. Record your yesterday evening items, sleep time, morning routine tasks, commuting time. What have you been doing on the way to work. At the end, record time for time tracking and current time.

DAYTIME: If possible, keep Excel file with time diary open in order to make records as is, without waiting till the evening.

EVENING: Record all actions related to work. If you cannot remember everything, one record is enough: Work and # of hours. Record other activities for which you spent time during the day. For easy remembering you can check your sent mails/messages and outgoing calls in your phone. Record your commuting time and what did you do on the way. At the end record time for tracking and actual time. Think about what will you do before going to sleep and when will you go to sleep (it will help in the morning).


Day 3 (Tuesday). 3-Days Strike

Today is a 3rd day of your time tracking. So, it should be easier. Follow recommendations from Day 2. If possible, use “Copy”-“Paste” function for reoccurring activities from yesterday.


Day 4 (Wednesday): Middle of the week

Follow recommendations from Day 2. If possible, use “Copy”-“Paste” function for reoccurring activities.


Day 5 (Thursday). Keep the rhythm

Yesterday was the middle. So, only three days remaining: today and two more days. Use your experience from previous days. Follow Day 2 recommendations.


Day 6 (Friday). Taking into account risks

Friday is probably the most difficult day. You are already tired after working week. Just try to find energy and make several records in the diary in the morning and in the evening. Preciseness doesn’t really matter. The most important is not to break time tracking.

For many people Friday evening is a rest time. So, it represents some risks for time tracking, as next day it could be difficult to remember all evening activities and exact time of going to bed. Take this risk into account and try to imagine your evening activities in advance. It will help you on Saturday morning!


Day 7 (Saturday). Joyful anticipation

Congratulations! You are on Day 7 of 7-Days Track Time Challenge! Home stretch!

MORNING: Record Friday evening doings (all that you can remember!), time of night sleep (at least roughly), morning routine, tracking time, current time.

EVENING: Record day’s activities. As today is a day off (normally), your activities differ from previous days. So, it will be good to look at the list of categories, not to forget anything. Also, you can have a look on Day 1 (Sunday) and “Copy”-“Paste” some activities from there. Think about what will you do before going to sleep and when will you go to sleep.

The moment of truth is near!


Day 8 (Sunday). Revelation: weekly report

Very small part is remaining: record your yesterday evening activities and refresh pivot table on respective sheet of the template! No need to record sleep time from Saturday to Sunday, it’s already next week!

If you had any typing mistakes during categories filling, they will be disclosed during pivot table refreshing. You should find these mistakes and correct them (use filters on track time sheet), and then refresh pivot table again.

How to calculate your productive time
Deduct from Total time amount following time spends: Sleep, unproductive, Body, Commuting time. At the beginning, in 2009, I considered 60 hours per week as a good productive time level.

How to calculate unproductive time share (percent)
Divide unproductive time by the sum of productive + unproductive.  The result has no good or bad meaning. Now you just know what the share of your unproductive time is. Awareness of this fact will contribute to gradual decrease of unproductive time and to increase of your productive time.

How to determine you work-life balance

  1. Decide what you will take as 100%. In my case, it is the sum of three categories: Work + Family + Personal
  2. Calculate the weight of each category. If one of the categories weights less than 20%, think that maybe it's worth to increase the time dedicated for this category.  If Work weights more than 50%, think about it as well!

How to analyze your “Wheel of Life”
Wheel of life helps to illustrate real situation in someone’s life and is composed from sectors – categories of your life. You should estimate your satisfaction level by each of the categories from 1 to 10. Center of the wheel – zero, perimeter – 10.

Wheel of Life helps you to visualize areas where improvement is required and how you can increase your joy of life.

During last several days, you made a serious step to better self-knowledge and now have a good food for thoughts.
Some more questions that you can ask yourself:

  • Do I spend enough time for spiritual development? With my family? With friends?
  • How can I improve quality of my sleep?
  • Do I use productively my commuting time?
